All room use fees are on a per use basis and include the use of available AV equipment. Some events may warrant the use of a dedicated technical coordinator, which may require an additional charge (see below). Parties using the CEC are responsible for any additional out-of-pocket expenses associated with the event, including any AV equipment that must be rented or any additional support personnel needed for the event (see below). Clients will be billed prior to the scheduled event. Payments must be received five business days before the scheduled event. Failure to receive payment will result in the cancellation of the room reservation. Technical Coordinator Fees
Should an event require the CEC Technical Coordinator to monitor or run equipment beyond the initial set-up, the following fees apply: $50 for events up to four hours in duration (including set-up time) and $100 for events five to eight hours in duration (including set-up time). These fees are in addition to basic room charges.

AV Fees and Other Out-of-Pocket Expenses
Should an event require AV that must be rented from an outside source, the cost will be the responsibility of the event organizer. In addition, some events warrant the hiring of additional staff (usually technical support) in order to meet the needs of the client. These costs—and any other out-of-pocket expenses—will be the responsibility of the client and will be discussed prior to contracting with an outside vendor.

Videoconferencing Fees
The CEC offers access to a customized Georgia Statewide Academic and Medical System (GSAMS) videoconferencing unit. The unit includes up to 3 full pan/tilt and zoom/focus video cameras and a full audio/video connection to the other sites. In addition to room use fees (above), there is a separate charge for use of CEC video-conferencing equipment as follows: $45 per hour for GSAMS use, $25 per hour plus long distance charges for domestic calls outside the GSAMS system. A minimum of one hour is required for setup and at least four hours for GSAMS use.
